SECRETARY JOB DESCRIPTION
The Base Secretary is appointed by the Base Commander and serves indefinitely. The Secretary is a member of both the Executive Committee and the Board of Directors. The Secretary has the responsibility to conduct the correspondence of the organization, issue notices of meetings of the organization and keep minutes of their proceedings. His duties include:
The Base Secretary is custodian for the Base records.
He maintains a record (minutes) of the proceedings of all formal meetings of the Board of Directors, Executive Board and General Membership. This shall include the results of any matters that are voted upon in any of the venues.
The Secretary creates and submits formal Base correspondence for approval and/or endorsement by the Commander and/or Vice Commander.
He maintains attendance records for all formal meetings of the membership.
The Secretary submits, prints and transmits to the Newsletter Editor the minutes of all meetings of the Executive Board, Board of Directors, and membership meetings for approval and/or amendment by the appropriate audience.
He submits files of all formal correspondence, meeting minutes, election ballots and results, etc to the Base Historian.
Assists the Commander, with assistance from the Newsletter Editor, in drafting, publishing and distributing printed correspondence, policies, procedures, information notices and directives.
Receive, review and forward, for approval by the Board of Directors, requested amendments to the Perch Base Constitution and By Laws, Policies and Procedures, and other documents established as Base operating criteria.
The Base Secretary shall perform other duties as assigned by the Board of Directors or the Base Commander
